PRIVACY STATEMENT
Royal College of Healthcare is committed to protecting the privacy of all our students and clients. We will ensure that, to our best knowledge, the personally identifiable information you submit to us remains private and only used for the purpose you agree to. This privacy statement covers the treatment of your personally identifiable information that we obtain. We will take all reasonable steps to ensure that all information we collect or use is accurate, complete, up-to-date, protected from misuse and accessed only by authorised personnel for permitted purposes.
Type of Personal Information Held
Personal information is any information or an opinion (whether true or not) about you. It may range from the very sensitive (e.g. medical history or condition) to the everyday (e.g. address and phone number). It may include the opinions of others about work performance (whether true or not), work experience and qualifications, learning style questionnaire results and other information obtained by us in connection with enrolments, training and assessment. Personal information may include sensitive information.
We collect information about you, such as your name, contact details, work history and information concerning the matters relevant to enrolment or participation in training and assessment. We may collect this information when you give it to us directly, when you use our services or when you visit our website. We may also collect this information incidentally from your colleagues, employers or associates when they use our services. Personal information that we collect and hold usually falls into the following categories:
Students:
· Name, address, contact information
· Details of prior work history, qualifications, experience and competency
· Information about injuries, illnesses, disabilities and medical matters
· Details of criminal history
· Details to facilitate collection of enrolment and tuition fees
· Work performance information;
· Information about incidents in the workplace;
· Information submitted and obtained in relation to absences from training due to leave, illness or other causes;
· Information obtained to assist in managing relationships;
Clients/Workplaces:
· Name, address, contact information of workplace contacts
· Training and assessment requirements
· Time, day and date training and assessment is required
· How Trainers will access premises and security
· Details to facilitate collection of enrolment and tuition fees
Purposes for which We Hold Personal Information
We primarily hold personal information for the following :
· Training and assessment operations;
· Enrolment processing
· Staff management;
· Client and business relationship management;
· Marketing
· Compliance with legislative, contractual and funding requirements
Disclosures
We may disclose your personal information for the purposes for which it is primarily held or for a related secondary purpose. In some cases we may only disclose information with your consent. We may disclose your personal information where we are under a legal duty to do so, including circumstances where we are under a lawful duty of care to disclose information. We have contractors that provide services for us from time to time who may see some of your personal information. Typically our contractors would include:
· Trainers and assessors;
· I.T. contractors and database designers;
· Accountants/Payroll Administrators;
· Clerical and Administrative Staff.

Access
Subject to some exceptions that are set out in the National Privacy Principles, you can gain access to the personal information that we hold about you. We do refuse access if it would interfere with the privacy rights of other persons or if it breaches any confidentiality that attaches to that information. If you wish to obtain access to your personal information you should contact our Privacy Officer. You will need to be in a position to verify your identity. We might impose a moderate charge in providing access. Our Privacy Officer would discuss this with you. You should also anticipate that it may take some time to process your application for access as there may be a need to retrieve information from storage and review information in order to determine what information may be provided.
